Audit trail coverage from day one

A distribution organization's finance team was spending three full weeks every month manually reconciling invoices across twelve vendor streams. There was no consolidated audit trail. Payment errors were recurring. And leadership was making month-end decisions based on financial data that was already weeks old by the time it reached them.

The problem wasn't effort, the team was working hard. The problem was structure. Twelve separate vendor data streams with no unified model meant every reconciliation required manual cross-referencing across spreadsheets, emails, and PDFs.

We rebuilt the procurement data model from scratch, consolidating all twelve vendor data streams into a single normalized structure. Every invoice, PO, and payment line was mapped to a unified schema that made reconciliation automatic rather than manual.

On top of that foundation, we automated the reconciliation logic in Power BI and built an executive financial control dashboard with full drill-through capability, from raw transaction data all the way to a clean leadership summary in a single view.

The dashboard was designed around how the finance team and leadership actually used the data, not around how it was stored in the system.

The monthly close cycle dropped from three weeks to three days. Reconciliation effort fell by 70%. Leadership gained access to accurate financial data within days of month-end for the first time, with a complete, verifiable audit trail behind every number. Payment errors stopped because mismatches were now visible before invoices were approved.
